Manage Beneficiaries
Explanation
A beneficiary represents a person living in an institution and earning services (care, hospitality, catering...). It's linked to a contact and necessarily also a customer for invoicing purposes.
It can have multiple terminology, like customer, patient, recipient... but in E-Care, il is overall called a Beneficiary.

A beneficiary must have a stay to activate invoicing, can have an evaluation, should have an addressbook, can have absences.
Additionnaly, a beneficiary can have Manual Entry like hairdresser, footcare and Contract like a telephony subscription.
Don't forget to set the beneficiary to set the flag active before trying to use it !
Create a Beneficiary
To create an beneficiary, first create a Contact, use Tell me and search for Contact, select Contacts of type Lists, and then on the navigation bar select + New. Fill out the basic information about your beneficiary (name, address...). Then, on the Navigation bar select Process | Beneficiary. This will not only generate the beneficiary but also a Customer. You also find this action under Actions | Functions | Create as | Other | Beneficiary.
A Customer Template can be applied, in priority the one defined on the institution card, otherwise the one of the e-Care General Setup will be used.
From the E-Care Navigation bar, select Beneficiaries List , open your beneficiary and fill out the necessary fields.
The following setup must be accomplished before creating and using beneficiary:
- Customer numbering defined
- Beneficiary numbering defined
- Business Relation Link defined (Marketing Setup)
- Chose Naming convention: invert Name like Surname + Middlename + Firstname (Marketing Setup)

Manage a Beneficiary
Beneficiary management is a daily activity, whether you are dealing with Absence or evaluation or any modification of any address in the addressbook.
A beneficiary can have one or multiple concurrent stays, it is your responsibility to ensure the consistency of the stay.
Keep in mind to have consistent Start/End Dates between Contract and Entry and between stays.
Don't forget to enter the Absence End Date when the beneficiary is back.
