Manage Institutions

Explanation

An institution is an entity greeting beneficiaries, it represents the entity where beneficiaries live in, where services and cares are provided and billed, in short, mostly your company. It can be a care home, home for the elderly, a hospital. It can have multiple terminology like house, home, establishment... but in E-Care, it will be institution.

You can define an infrastructure inside the institution like departments structured in floors containing rooms.

Create an Institution

The process to create an institution is quite simple: first create a contact for the institution company, use Tell me and search for Contact, select Contacts of type Lists, and then on the Navigation bar select + New. Fill out the information about your institution (name, address...)

Once done, use the Navigation bar Process | Institution to make the magic happen (and incidentally create the institution). You also find this action under Actions | Functions | Create as | Other | Institution

Finally, from the Role Center, select in the Menu bar Care | Institutions list and select your institution to fill out complementary fields. Learn more about this step here.

> Cash withdrawal max amount : Maximum amount a beneficiary can withdraw per month

  • Institution numbering defined
  • Business Relation Link defined (Marketing setup)

Manage an Institution

Some specific fields must be assigned, certain entities must be filled in and some conditions met in order for E-Care to work as expected. To learn more about the fields to fill, see here.

Sometimes, at the beginning or during the year, values change, to keep this information up to date, find your institution and then adjust the Care Rating (BESA or RAI/RUG), the VCR codes, your Departments and rooms structure,... The availability/occupation of your rooms is also accessible from your institution.

check the occupation or availability using the overview chart from the institution. Select on the Navigation bar E-Care | Occupation. From there, you can zoom in/out hoovering the calendar ruler and using CTRL + mouse wheel.

List beneficiaries from specific institution

From the institution list and card, you can show all beneficiaries having a stay in this institutionm using the Navigation bar E-Care | Show beneficiaries for department

From the institution department, you can hav a list showing all beneficiaries from a specific department selecting on the Navigation bar Show beneficiaries for department
